Terms and Conditions
Please make sure your team members and supporters know where your BBQ site is located (Madill's Farm or Glover Park) and the name of the group the site is booked under.
Alphabetical site directories for both parks will be at the Finish and at the two grounds.
Vehicle Access
- No trucks over 5 tonne will be allowed access onto either Madill's Farm or Glover Park under any circumstances.
- An official Ports of Auckland Round the Bays Car Pass is required for all vehicles to gain entry onto Madill's Farm or Glover Park on the day of the run.
- Vehicles must be parked within the boundaries of your 7m x 7m BBQ site. Please do not restrict access ways.
- There is to be no movement of vehicles on Glover Park or Madill's Farm between 9am and 1pm on the day of the run.
- No vehicles are to be left on Glover Park or Madill's Farm overnight before the run.
- If the grounds are wet, vehicle access will be further restricted.
- There is no parking available for buses or trucks over 5 tonnes at Glover Park or Madill's Farm.
- Please ensure those people who need access to your site (band, caterer, etc) have a Car Pass; no Car Pass, no entry
Setting up Sites
Tents or marquees may be set up on Friday, 12 March 2010 (9am to 3pm) or Saturday, 13 March 2010 (8:30am to 3pm).
- No tents or marquees are to be set up on the day of the run (Sunday, 14 March 2010).
- Do not leave anything in your tent or marquee overnight.
- No shipping containers are allowed on Madill's Farm or Glover Park.
Security is available on the Friday and Saturday nights but no responsibility is taken by the organisers for any equipment or belongings left on sites overnight.
Allowable Usage
BBQ sites at Madill's Farm and Glover Park are for hosting staff, clients and families, they are NOT to be used for sales or promotional activities. Site-holders are encouraged to display company signs within their site but no products or services can be sold, advertised or distributed at Madill's Farm, Glover Park or at any place along the route of the Ports of Auckland Round the Bays.
Facilities
Please note there is no water or electricity supplied to the BBQ Sites. Portable toilets are available around the perimeter of both parks.
Amplified Music
If having amplified music on your BBQ site, please be considerate and assist us with noise control by following these guidelines:
- The playing of music is restricted to between 10am and 2pm on the day of the run (Sunday, 14 March 2010).
- Speakers are to be facing into the park, not towards residential housing surrounding the area.
- If possible, use a barrier to absorb sound.
- All band equipment, speakers and/or DJ equipment must be within the boundary of your site(s).
- Trucks over 5 tonne will not be permitted on the grounds.
Please remember to give your band or DJ a Car Pass if they need to get equipment on to one of the grounds.

Clearing the Reserves
- Music must cease at 2pm. All sites must be cleared by 3pm on the day of the run (Sunday, 14 March 2010).
- Please place rubbish in the mini skips and receptacles provided.
- Tents, marquees and all rubbish must be removed by no later than 4pm on Monday, 15 March 2010. Any remaining tents or marquees will be removed at the site holder's expense.
- Please appoint a site manager for the day, responsible for the behavior of the people attending your site, serving of alcohol and closing down of your site on the day.
Site Cancellation
Cancellations made prior to 16 January will receive a 90% refund if the site can be resold. After 16 January no refund will be given.
